Ulster University

Opportunity
Until recently the University of Ulster was running a manual space management system. However they realised that these records were neither sufficiently accurate nor truly representative of the actual floor lay-outs of their estate. The University used the opportunity of a forthcoming Asbestos survey to also conduct a measured building survey. This required them to update and enhance their existing CAD drawings at the same time.

Consequently they decided to purchase the MICAD Internet Property Register including its Asbestos Module. To support the project, MICAD hosted the application, as a service, from their Stockport headquarters. This enabled local Property Consultants, Watts &Partners (Belfast) to complete a comprehensive (Type 2) Asbestos survey and update the appropriate floor plans without needing access to the University’s network. Both the contractor and the client were able to collaborate and coordinate their activities through the MICAD application. This ensured that both drawings and asbestos records were kept up-to-date during the period of the project.

Benefits
Although complex, the operation was a complete success. The single most important feature was the ability for each party to simultaneously access the same up-to-date data, so aiding efficient communication. Queries were answered quickly as the Micad support staff could see on-line any problem encountered by either the University or Watts. They could then talk them through the solution, immediately applying agreed corrections and or changes. Watts and Partners were able to access the system directly from their office desktops in Belfast without restriction. This would not have been possible if the chosen system had been a conventional standalone surveyor’s database. As a result the survey was completed economically, efficiently andwith complete accuracy.

Hull and East Yorkshire Hospitals

Hull and East Yorkshire Hospitals NHS Trust’s Estate Strategy sets out a 10 year plan to provide high quality facilities in accordance with corporate objectives aimed at achieving and maintaining Foundation Trust status. A new programme for investment in backlog maintenance aligned with the Strategy has been drawn up to meet changing service needs and comply with all relevant standards and guidelines. A comprehensive review of the estate was undertaken in 2006/07. The review covered a number of facets including physical condition, statutory standards, quality, functional suitability and space utilisation. The analysis quantified the hypothetical cost of bringing accommodation on the Trust’s two main hospital sites up to EstateCode Condition B. Over the last two years, the Trust’s capital development department has built a comprehensive information system for the sites and buildings that it operates. All buildings have their plans available in electronic format with both room users and function identified. This has been accomplished using the Micad web based estates management programme IPR. Pauline Lewin, Director of Facilities commented,“the huge amount of preparation and work that went into the publishing of the Trust’s Estate Strategy would not have been possible within the timescales set out by the board without the IPR and the support of Micad”.

The IPR database web‐site is hosted by Micad and the Trust and its partner suppliers access and manage their part of the system over the Internet. The Property Appraisal Survey which was the precursor to the strategy was undertaken by Nifes Consulting Group and Cliff Price of CPA Solutions assisted the Trust with the production of the strategy and its documentation. Both entered and accessed their respective information directly over the Internet thus saving huge amounts of time.

Oxford and Radcliffe Hospitals

The Estates department at the Oxford Radcliffe is both proactive and professional in the way that it responds to it’s clients needs and demands for information. Service delivery is in the capable hands of Nick Roche, the Estates I.T. Manager. Standards are high, because there is no room for complacency and Nick is constantly examining and testing the processes to see how they can be improved.

Knowing that there was a requirement to improve the means by which electronic documents (e.g. manuals, CAD drawings & spatial information relating to the use of the Trust‘s accommodation) were delivered, meant Nick had to find a technology based solution without recourse to additional human resources.
Aims & Objectives

  • Offer, from individuals desktop PC’s, estates/facilities and the wider Trust access to the latest information whether drawings, data or documents
  • The system used must be effective, simple and uncomplicated.
  • It must utilise accepted, well understood & robust technology.
  • Exploit people’s experience of the web.
  • All information must be accessible from one simple front screen.
  • No formal training should necessary to browse information.
  • The main driver for this initiative was to act in the interests of the client.

Deployment
Once his purchase justification was accepted and supported by senior management, Nick moved forward cautiously. After much deliberation the system he selected was the Micad Intranet Property Register (IPR). He also decided to make use of Micad’s hosted solution.

The Micad Internet hosting service was of significant interest for several reasons. Not only was he making use of new technology, but the department could prove the functionality of the software without any capital purchase. When ready, it was simple to make the hosting arrangement permanent. This in turn meant none of the data input was wasted and users could familiarise themselves with the software early on in the trial.
